EXECUTIVE ASSISTANT Bird Construction is a leading general contractor in Canada with a long history of service that has offices from coast to coast. The Vice President & District Manager in Winnipeg, MB requires the support of a seasoned Executive Assistant to assist in day-to-day activities and administration. The ideal candidate will have excellent organizational and time management skills and can prioritize and multi-task in a fast-paced environment. The ability to think and operate within a senior executive environment, as well as the ability to perform independently without constant supervision, is required. Duties Include: . Organize and manage both internal and external meetings and events; coordinate facility and venue booking, meeting materials, catering and AV requirements . Prepare and format information for both internal and external presentations (Prepare PowerPoint presentations, Excel spreadsheets/graphs, letters & memos in Word, edit proposals & contracts, transcribe dictation, proofreading, etc.) . Manage contracts . Work with budgets and report on performance . Maintain accurate records of expenses and costs incurred . Assist other members of the Management Team . Arrange travel of VP & District Manager, management team, and other staff . Document management and act as Sharepoint Administrator . Book meetings and manage calendar of VP & District Manager . Coordinate monthly reporting process and distribute completed reports . Ensure smooth operation of the executive office by overseeing clerical staff and assuring proper tools are in place for the office to function properly . Backup coverage for reception, answer phones, and other daily tasks to keep the office running smoothly . Complete Security Clearance Applications for staff . Take minutes at PM production meeting . Review documents and information to assist with business operations and planning . Work collaboratively with Finance and Human Resources . Review hardware, software, office expense requests - negotiating as needed Skills & Qualifications . 3-5 years' experience working with and supporting a senior executive . Ability to work independently with little or no supervision, as well as the ability to work in a team setting . Advanced knowledge of MS Office, Viewpoint, and Sharepoint . Ability to communicate effectively with all levels of the organization . Strong written and verbal communication . Highly organized self-starter with excellent interpersonal, multi-tasking, problem solving, & time management skills . Highly detail oriented .
